September 21, 2022Migration from Great Plains to Quickbooks Online
In the Spring of 2020, Port TMS assisted a client in their migration from Great Plains to Quickbooks
Online. The motivation behind the change for the client was to utilize the strong integration Port TMS
has with Quickbooks Online (QBO).
The process: The client chose 4/1 as a switchover date. In the weeks leading up to the changeover date,
Port TMS was able to help set up the “product and services” list in QBO to reflect the modes of
transportation that were going to be utilized in Port TMS.
The morning of 4/1, the client uploaded a list of Customers, Vendors (carriers and non-carriers), all open
Accounts Receivable invoices, and all Accounts Payable bills into QBO via Spreadsheet. Beginning that
date, all shipments closed out (i.e. Invoiced) in Port TMS flowed over to QBO in seamless fashion.
All Customer and Carrier payments applied in Port TMS flowed over to Port TMS, and Accounts
Receivable and Accounts Payable reflected these payments appropriately. All Customers and Carriers
added in Port TMS were automatically created in QBO as a Customer or Vendor. Over the next week or
so, the Client gathered the last 18 months trial balance in spreadsheet format and uploaded the
document into QBO to get historical data for financial statement purposes.
The client was able to reconcile invoiced shipment reports from Port TMS to P&L statements in QBO,
without exception.
